How can we help?
Quick answers below. If you don't see yours, the form at the bottom goes straight to a person — usually the one who built the thing — and we answer within one business day.
Getting started
What do I need to set up?
Four steps, about ten minutes: your business details (they print on every document), a quick identity check, your bank account for payouts, and the $29/mo plan with a free trial. Nothing sends until you say so.
Can my crew or office manager use it too?
Yes. Unlimited users per business at no extra charge — invite them from Settings. Everyone sees the same customers, jobs, and invoices.
Does it work on my phone?
It's built for the truck. Add Reckonen to your home screen from Settings → Phone app and it opens full-screen like a native app, camera ready for job photos.
Can I import my customers?
Add them one at a time for now (name, phone, email, address). Bulk import from Square, Jobber, Housecall Pro, and QuickBooks is on the roadmap — tell us which one you use via the form below and we'll prioritize it.
Quotes, jobs, and invoices
How do quotes turn into invoices?
Send a quote → the customer accepts on their phone with a typed signature → convert it to a job → schedule visits → when the job is done, “Create invoice” opens the editor pre-filled from the quote. Adjust for change orders and send.
Can I edit an invoice after sending it?
No — the customer already has that copy, and changing it under them causes disputes. Void it and choose “Duplicate as new draft” to issue a corrected one. Drafts can be edited freely.
How do I record a check or cash payment?
Open the invoice → Record a payment. A full payment marks it paid and stops reminders; a partial payment lowers the balance, and the online Pay button charges only what's left.
Where do tax, late fees, and payment terms come from?
Settings → Invoice defaults. Every new invoice starts from those; you can change them per invoice. Reckonen calculates totals but doesn't decide what rate applies to your work — check with your accountant.
Can I change how invoices look?
Templates lets you pick a starter and adjust colors, fonts, and which blocks appear (PO number, project, photos). Upload your logo in Settings and it shows on quotes, invoices, and emails.
Follow-up reminders
How do reminders work?
When you send an invoice, Reckonen schedules three follow-ups (default: day 3 polite, day 10 firm, day 18 final with late fee). They go out automatically by email — and by text if you enable SMS — and stop the instant the invoice is paid, voided, or written off.
Can I change the schedule or tone?
Settings → Follow-ups. Change the days, the tone of each stage, and whether a stage applies the late fee. Changes apply to invoices sent afterward; ones already out keep their schedule.
Will it hassle a customer who already paid by check?
Not if you record the payment (see above). The moment the balance hits zero, remaining reminders are canceled.
What if a customer says the invoice went to spam?
Re-send it from the invoice page; you can change the To address there too. Every invoice also has a permanent link you can text them.
Getting paid and payouts
How do customers pay?
The invoice email and hosted page have a Pay button. Customers pay by card or US bank transfer (ACH) on a Stripe-hosted page — no account needed. Card payments show as paid immediately; ACH takes 1–4 business days to clear and the invoice shows “processing” until it does.
When does the money reach my bank?
Stripe pays out to your bank on its standard schedule (typically two business days after a card payment clears). Reckonen never holds your money — it moves straight from your customer to your Stripe account to your bank.
What does it cost per payment?
Stripe's processing fee (their standard card and ACH rates) plus Reckonen's small platform fee shown in Settings → Payments & billing. There's no per-invoice charge for invoices paid by check or cash.
Why does Stripe want my SSN and bank details?
Stripe is a regulated payment processor and is required to verify who receives money. Those details go directly to Stripe — Reckonen never sees or stores them. You can manage them any time in your Stripe Express dashboard.
A payment was disputed or refunded — what now?
Handle it in the Stripe Express dashboard (link in Settings → Payments & billing). Then void or adjust the invoice in Reckonen so your records match.
Your plan and account
What does Reckonen cost?
$29 a month per business. Unlimited users, unlimited invoices, every feature. Cancel any time from Settings → Billing portal; you keep access until the end of the period.
How do I change my email or password?
Settings → Account. Email changes send a confirmation to the new address first.
Can I export my data?
Yes — PDFs of any document, and your customers, quotes, jobs, and invoices as CSV. Your data is yours; see the Privacy Policy.
How do I close my account?
Cancel your plan in the Billing portal, then email us from the form below and we'll delete your data within 90 days (invoices and payment records are kept 7 years for tax law).
